Job Opportunity: Billing Specialist (Legal Industry)


Compensation: $35.00 – $43.00 per hour ($70,000 – $85,000 annually) Status: Full-Time, Non-Exempt


Position Overview

We are seeking a highly detail-oriented and proactive Billing Specialist to join our accounting team. This role is critical in ensuring the prompt and accurate delivery of client invoices while maintaining strong professional relationships with attorneys and clients alike. The ideal candidate will have significant experience in legal billing and a mastery of electronic billing (E-billing) systems.


Key Responsibilities

  • Billing Management: Prepare, review, and finalize client billing for an assigned group of attorneys. Make necessary adjustments and corrections to ensure all pertinent data is included.
  • E-Billing Excellence: Manage invoice submissions through electronic portals. Monitor status to ensure successful acceptance and resolve any transmission errors promptly.
  • Client Communication: Act as a primary point of contact for internal and external clients regarding account status, transaction details, credit requests, and W9s.
  • Data Integrity: Oversee cost data uploads and manual expense postings. Research and reconcile any billing discrepancies to ensure ledger accuracy.
  • Reporting & Compliance: Produce and distribute financial reports as required. Ensure all firm policies and procedures are strictly followed.
  • Team Support: Assist with bank reconciliations and serve as a backup for other accounting functions during peak periods or special projects.


Qualifications

  • Experience: Minimum of five (5) years of accounting experience within a law firm or legal environment.
  • Technical Proficiency: * Strong background in E-billing is required.
  • Familiarity with Serengeti, Tymetrix 360, or CounselLink is highly preferred.
  • Knowledge of Elite/3E or similar legal accounting software is a significant plus.
  • Basic proficiency in Microsoft Office (Word, Excel, Outlook).
  • Education: High School diploma or GED required; a combination of relevant education and experience will be considered.
  • Skills: * Ability to perform high-volume, detailed work with extreme accuracy.
  • Strong prioritization skills with the ability to handle "rush" requests and multiple deadlines simultaneously.
  • Excellent interpersonal and communication skills.
  • Availability: Must be willing to work outside of standard hours (evenings/weekends) during month-end or year-end deadlines. Occasional travel may be required.
