Summary

A private investment and family office platform is seeking a highly organized, detail-oriented Executive Assistant to provide high-level support to a senior investment executive. The ideal candidate will exercise excellent judgment, communicate effectively, manage competing priorities, and handle a wide range of confidential matters with discretion.


This role requires someone who can work independently under pressure, anticipate needs, and provide seamless administrative support in a fast-paced, professional environment

The firm oversees family office activities and invests long-term capital across direct private equity, venture and growth equity, concentrated public market positions, real estate, and other opportunistic transactions. Responsibilities

  • Manage a complex calendar and keep the senior executive well informed of upcoming commitments, meetings, deadlines, and responsibilities
  • Arrange detailed and complex travel itineraries, agendas, and supporting materials for business trips
  • Compile documents, briefing materials, and other information needed for meetings and travel
  • Follow internal policies and processes, including travel and expense reporting
  • Coordinate with compliance and internal teams to obtain required approvals as needed
  • Exercise sound judgment when scheduling conflicts or urgent matters arise
  • Handle priorities proactively and ensure projects and follow-ups are completed under tight deadlines
  • Organize and facilitate team engagements, social activities, outings, and other internal events
  • Build strong relationships across internal teams and external stakeholders
  • Maintain confidentiality and discretion when handling sensitive information


Qualifications

  • 5+ years of experience supporting senior executives
  • Strong organizational skills with the ability to prioritize multiple tasks and manage competing deadlines
  • Excellent attention to detail and follow-through
  • Strong interpersonal skills and ability to build effective internal relationships
  • Excellent written and verbal communication skills
  • Proactive problem-solving skills and strong decision-making ability
  • Proven ability to handle confidential information with discretion
  • Strong client service orientation
  • Experience working in a global organization and managing global stakeholders preferred
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Experience with Adobe Acrobat and Zoom
