Join a fast-paced investment management platform and provide high-level support to senior executives in a dynamic, collaborative environment.


Responsibilities:

  • Calendar Management: Manage complex, high-volume calendars, coordinating internal and external meetings across multiple stakeholders and time zones.
  • Executive Communication: Serve as a key point of contact for clients, investors, board members, partners, and senior management, communicating professionally on behalf of the executive team.
  • Meeting Preparation: Collect, organize, and prepare materials for meetings, including presentations, spreadsheets, reports, and other business documents.
  • Cross-Functional Coordination: Partner with administrative teams across the organization to coordinate logistics for meetings, projects, and special initiatives on a global scale.
  • Travel & Logistics: Arrange domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries.
  • Expense & Invoice Management: Prepare and process expense reports, invoices, and other administrative documentation in a timely manner.
  • Project Support: Assist with special projects, strategic initiatives, and ad hoc assignments both independently and as part of a broader team.
  • Personal & Administrative Support: Provide occasional personal assistance and handle time-sensitive requests with discretion and professionalism.


Qualifications for the Executive Assistant:

  • Experience: 5+ years of experience supporting senior executives, preferably within financial services, investment management, private equity, hedge funds, or other professional services environments.
  • Communication Skills: Exceptional verbal and written communication skills with the ability to interact confidently with senior executives and external stakeholders.
  • Organizational Skills: Proven ability to manage multiple priorities, shifting deadlines, and complex scheduling demands.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Word.
  • Attributes: Highly organized, proactive, detail-oriented, and resourceful with strong judgment and discretion when handling confidential information.
  • Work Style: Ability to thrive in a fast-paced, high-performance environment while maintaining a positive, team-oriented approach.
